Cancellation Proof File

A cancellation proof file is one record that shows what you cancelled, who controlled the billing, when you cancelled, what the provider confirmed, and when you will check the next statement. Build it before a later charge forces you to reconstruct the timeline. This tool keeps your entries inside this browser tab and formats them for printing or PDF.

What belongs in a cancellation proof file

The useful proof is factual and dated. Save the final status screen or email, the account and billing route, the cancellation date, the confirmation or case number, any stated access-through date, and the next statement date you plan to check. A screenshot by itself is weaker when it does not show the account, date, or final status.

Before you close the cancellation page

  1. Confirm that the page says cancelled, non-renewing, or ends on a stated date.
  2. Save the final screen, email, chat transcript, or confirmation number.
  3. Record whether the merchant, app store, wallet, or provider controlled billing.
  4. Schedule one check after the next expected statement or renewal date.

This worksheet does not cancel a subscription or create a refund. Use the provider's current official cancellation path first. Start with the exit-door directory when you are not sure who controls the plan.

Worked example

You cancel a hypothetical StreamCo plan on September 21. The account page says access ends October 4 and gives confirmation ABC-123. You save that page, record that StreamCo billed the card directly, and schedule an October 12 statement check. If another charge appears, the proof file gives you one clear timeline instead of scattered screenshots.
